The Office Moving Checklist — 1-2 Months Before Moving

The two-month period before you move is an important time to plan some of the key details of your new office and begin terminating any existing services for your current office. Here are the top things Brandon Moving & Storage recommends considering about 1-2 months before moving offices:

Plan Your New Office

Now that you have sorted the responsibilities of employees and the location of your new office, it is a perfect time to begin working on the other critical aspects of planning for a new office environment. 

The first thing you should take on is producing a design plan. You will use this to determine where to place all your equipment in the new office. Make a checklist of everything that will be moved to the new office and plan accordingly to fit it all in perfectly.

Things to consider include the location of ethernet connections and power sockets for computers and electronics. Once you have all this deciphered, you won't have to worry about moving things around. Make sure you have also arranged a company to install the phones and internet in your new office.

You should also focus on inventory in the coming weeks. Make sure you label and tag your office's items to avoid losing anything important. Also, make sure you have enough packing boxes and supplies for moving and that you have set a cancellation point for the utilities at your current office.

Communication

Consider what communication is required for the office move to go ahead. 

Make sure all your office keys, parking passes, and/or access cards are accounted for in the form of a master list. This way, you can refer to it when you need to collect access cards before moving day. 

You should also discontinue any services at your office. For example, if you currently have security, cleaning, or landscaping services at work, you need to notify them of your move so they can terminate service. 

As far as clients go, create an email or snail mail notification to ensure clients and customers are up to date on your new locations and where to reach you. That way, you will incur no risk of losing clients/customers. 

If you have any mailing lists, websites, or social media services, make sure you have updated the company address listings to keep all your information up to date. You also need to make sure banks, accounts, and online listings such as Yelp and Google are also aware of your new address. 

Be Prepared

The 1–2-month mark is a crucial point in your office move. Make sure that your address is updated on any listings and that clients and customers are aware of your new location. Also, assure that any ongoing services at your current office are discontinued and that your audit keys, parking passes, and access cards are all accounted for.
